State Privacy Rights Notice: See the State privacy rights notice section below for important information about your rights under applicable state privacy laws.
HEY CORE LLC, a Florida limited liability company (Florida Division of Corporations document number L26000492259) ("Hey Core," "we," "us" or "our"), provides an AI front desk and website service for businesses. This Privacy Policy describes how Hey Core processes personal information that we collect through our digital or online properties or services that link to this Privacy Policy (including our website at heycore.ai) as well as our marketing activities and other activities described in this Privacy Policy (collectively, the "Service").
Personal information we collect
Information you provide to us. Personal information you may provide to us through the Service or otherwise includes:
- Contact data, such as your first and last name, email address, billing and mailing addresses, professional title and company name, and phone number.
- Communications data based on our exchanges with you, including when you contact us through the Service, by phone, by text message, by email, through social media, or otherwise.
- Transactional data, such as information relating to or needed to complete your purchases of our services, including order details and transaction history.
- Payment data needed to complete transactions. Payment card information is collected and processed by our payment processors, as described below.
- Marketing data, such as your name and email address when you sign up for our newsletter with your consent, your preferences for receiving our marketing communications, and details about your engagement with them.
- Input data, such as questions, messages and other content or information that you provide to us or make available through the Service, as well as associated metadata.
- Other data not specifically listed here, which we will use as described in this Privacy Policy or as otherwise disclosed at the time of collection.
Third-party sources. We may combine personal information we receive from you with personal information falling within one of the categories identified above that we obtain from other sources, such as:
- Customers. Businesses that use our services may give us information about their own customers, such as names, phone numbers and the content of calls and messages, so that we can provide the services to them.
- Service providers that provide services on our behalf or help us operate the Service or our business.
- Business transaction partners. We may receive personal information in connection with an actual or prospective business transaction. For example, we may receive your personal information from an entity we acquire or are acquired by, a successor, or assignee or any party involved in a business transaction such as a merger, acquisition, sale of assets, or similar transaction, and/or in the context of an insolvency, bankruptcy, or receivership.
Automatic data collection. We and our service providers may automatically log information about you, your computer or mobile device, and your interaction over time with the Service, such as:
- Device data, such as your computer or mobile device's operating system type and version, browser type, device type (for example, phone or tablet), IP address, language settings, and general location information such as city, state or geographic area.
- Online activity data, such as pages or screens you viewed, how long you spent on a page, the website you visited before browsing to the Service, navigation paths between pages, information about your activity on a page (such as clicks and scrolling), and access times and duration of access. This includes session recordings of how you interact with our website, with the text you type into form fields masked.
- Communication interaction data, such as your interactions with our newsletter emails (for example, whether you open them and whether you click links within them). We may do this through the use of pixel tags (which are also known as clear GIFs), which may be embedded invisibly in our newsletter emails. We do not use this kind of tracking in our text messages or in our other service-related emails.
Tracking and other technologies
Product analytics (PostHog). We use PostHog, a product analytics service, to see how visitors use our website. PostHog collects the device data and online activity data described above, including which pages are viewed, clicks and other interactions, and session recordings that show how a visitor moves through a page. Session recordings mask everything typed into form fields. PostHog acts as our service provider and processes this data on servers in the United States.
- No analytics cookies. We configure PostHog not to set cookies and not to keep identifiers in your browser's local storage or session storage. Each page you load is treated as a new, anonymous visit. When it starts, the PostHog code briefly checks that browser storage is available and deletes the test value right away.
- No ad tracking. We use PostHog only to understand and improve our website. We do not use it for advertising or to track you across other websites.
- No sale. We do not sell or share analytics data with third parties for their own purposes.
Contact and newsletter forms. Our contact form and our newsletter form (shown in the footer of every page) are part of our own website. When you submit one, your details go to our server at heycore.ai, which checks them and passes them to our CRM platform, where we keep your contact record. The forms do not load third-party code, do not set cookies and do not use local storage. They use your browser's session storage for one thing only: the campaign parameters described below. Their font is served from our own site.
- What our server records. Along with the details you enter, our server records the date and time, the page you submitted from, your IP address and your browser's user agent. If you check a consent box, it also records the exact consent wording shown to you. We do not keep a copy of your submission on our website; it is stored in our CRM platform. Our server logs do not include the details you enter.
- Campaign parameters. If the address of a page you open on our site includes UTM campaign parameters (utm_source, utm_medium, utm_campaign, utm_term or utm_content), our website keeps the first set it sees in your browser's session storage for that visit. Session storage is cleared when you close the tab. When you submit the contact or newsletter form, the form sends those parameters with your submission and our CRM platform saves the source, medium and campaign on your contact record, so that we know which campaign brought you to us.
- Embedded form fallback. If we ever switch back to forms embedded from our CRM platform, those forms load from links.heycore.ai and the CRM platform's servers, Google Fonts and Cloudflare bot protection. In that case they set a short-lived Cloudflare cookie (__cf_bm), and the CRM platform stores session, visit history and device identifiers and form progress in your browser's storage, governed by the CRM platform's and Cloudflare's own privacy policies.
Chat with Hey Core (live chat and voice assistant). When our website shows the "Chat with us" button, that button is part of our own website and does not load anything from third parties. The chat window behind it, "Chat with Hey Core", is provided by our CRM platform (HighLevel, also called LeadConnector) and offers two options: a live chat with our team and a voice assistant you can talk to in your browser. Its code, cookies and browser storage load only after you tap the button. When you tap it, the chat code loads from the CRM platform's servers (leadconnectorhq.com and msgsndr.com) and its image host (filesafe.space), along with a font from Bunny Fonts (fonts.bunny.net) and Cloudflare Turnstile bot protection (challenges.cloudflare.com).
- Cookies and browser storage. Only after you tap the button, the CRM platform sets short-lived Cloudflare cookies (__cf_bm, about 30 minutes) on leadconnectorhq.com and filesafe.space. In your browser's local storage on our site it keeps a visit session ID, a visit history with a browser identifier, the page address, referrer and any UTM campaign parameters, whether you closed the greeting bubble (for 24 hours) and may keep what you type into the chat's form fields. In session storage it keeps the chat's text labels and a request token. If you start a voice call, it also stores the call and contact IDs for that call in local storage. You can clear these through your browser's settings.
- Visit data. When you tap the button, the chat sends your visit details (such as the page address, referrer and UTM campaign parameters) to the CRM platform and asks the CRM platform for an approximate location based on your IP address.
- Name and email. Before your first chat message or a voice call, the chat asks for your name and email (both required). It does not ask for a phone number. Your name, email, messages and any files you attach are stored in our CRM platform, which creates a contact record for you and keeps the conversation. Our team gets an email alert for each chat, and a member of our team reads and answers it. The chat does not send you text messages.
- Microphone. The chat does not use your microphone until you start a voice call or tap the button for a voice message. Your browser then asks for permission to use your microphone. If you allow it during a voice call, what you say is streamed to the CRM platform and its AI provider so the assistant can answer you, and the call is connected through the CRM platform's servers. A voice call also loads call software from Google Cloud Storage (storage.googleapis.com).
- Call records. Starting a voice call creates a contact record and a call record in our CRM platform.
- Governing policies. The chat is governed by this Privacy Policy and by the CRM platform's and Cloudflare's own privacy policies.
Newsletter emails. Our newsletter emails may contain pixel tags and tracked links that tell us whether an email was opened and which links were clicked, as described in the Email marketing and newsletter section. We use this information only to measure and improve our newsletter.
Artificial intelligence ("AI") technologies. Some of our services use AI technologies provided by third-party AI providers to answer calls, respond to messages and help with scheduling and follow-up. Those providers may process the content of calls and messages and related information to provide these features for the purposes described in this Privacy Policy.
How we use your personal information
We may use your personal information for the following purposes or as otherwise described at the time of collection:
Service delivery and operations. We may use your personal information to:
- provide the Service;
- enable security features of the Service;
- communicate with you about the Service, including by sending Service-related announcements, updates, security alerts, and support and administrative messages;
- send the text messages described in the Text messaging (SMS) section, such as missed-call text-back, appointment reminders and onboarding messages; and
- provide support for the Service, and respond to your requests, questions and feedback.
Service personalization, which may include using your personal information to understand your needs and interests, and to personalize your experience with the Service and our Service-related communications.
Service improvement and analytics. We may use your personal information to analyze your usage of the Service, improve the Service, improve the rest of our business, help us understand user activity on the Service, as well as user interactions with our newsletter emails, and to develop new products and services. For example, we use PostHog for this purpose, as described in the Tracking and other technologies section.
Direct marketing. We may send you direct marketing communications and may personalize these messages based on your needs and interests. You may opt out of our marketing communications as described in the Your choices section below. We do not send marketing text messages under the Hey Core customer care texts program.
Compliance and protection. We may use your personal information to:
- comply with applicable laws, lawful requests, and legal process, such as to respond to subpoenas, investigations or requests from government authorities;
- protect our, your or others' rights, privacy, safety or property (including by making and defending legal claims);
- audit our internal processes for compliance with legal and contractual requirements or our internal policies;
- enforce the terms and conditions that govern the Service; and
- prevent, identify, investigate and deter fraudulent, harmful, unauthorized, unethical or illegal activity, including cyberattacks and identity theft.
Data sharing in the context of corporate events. We may share certain personal information in the context of actual or prospective corporate events. For more information, see How we share your personal information, below.
To create aggregated, de-identified and/or anonymized data. We may create aggregated, de-identified and/or anonymized data from your personal information and other individuals whose personal information we collect. We make personal information into de-identified and/or anonymized data by removing information that makes the data identifiable to you, and we will not attempt to reidentify any such data. We may use this aggregated, de-identified and/or anonymized data and share it with third parties for our lawful business purposes, including analyzing and improving the Service and promoting our business.
Further uses. In some cases, we may use your personal information for further uses, in which case we will ask for your consent to use your personal information for those further purposes if they are not compatible with the initial purpose for which information was collected.
Retention
We generally retain personal information to fulfill the purposes for which we collected it, including for the purposes of satisfying any legal, accounting, or reporting requirements, establishing or defending legal claims, or for fraud prevention purposes. To determine the appropriate retention period for personal information, we may consider factors such as the amount, nature, and sensitivity of the personal information, the potential risk of harm from unauthorized use or disclosure of your personal information, the purposes for which we process your personal information and whether we can achieve those purposes through other means, and the applicable legal requirements.
When we no longer require the personal information we have collected about you, we may either delete it, anonymize it, or isolate it from further processing.
How we share your personal information
We may share your personal information with the following parties (or as otherwise described in this Privacy Policy, in other applicable notices, or at the time of collection).
- Service providers. Third parties that provide services on our behalf or help us operate the Service or our business (such as hosting, information technology, customer relationship management, customer support, AI providers, telephone and text message delivery, email delivery, marketing, and website analytics).
- Payment processors. Any payment card information you use to make a purchase is collected and processed directly by our payment processors, which may use your payment data in accordance with their own privacy policies.
- Third parties designated by you. We may share your personal information with third parties where you have instructed us or provided your consent to do so.
- Professional advisors. Professional advisors, such as lawyers, auditors, bankers and insurers, in the course of the professional services that they render to us.
- Authorities and others. Law enforcement, government authorities, and private parties, as we believe in good faith to be necessary or appropriate for the Compliance and protection purposes described above.
- Business transferees. We may disclose personal information in the context of actual or prospective business transactions (for example, investments in Hey Core, financing of Hey Core, or the sale, transfer or merger of all or part of our business, assets or ownership interests). For example, we may need to share certain personal information with prospective counterparties and their advisers. We may also disclose your personal information to an acquirer, successor, or assignee of Hey Core as part of any merger, acquisition, sale of assets, or similar transaction, and/or in the event of an insolvency, bankruptcy, or receivership in which personal information is transferred to one or more third parties as one of our business assets.
Text messaging (SMS)
If you opt in, we use your mobile number to send Hey Core customer care texts, such as missed-call text-back, appointment reminders and onboarding messages. You opt in by checking the SMS customer care texts box on our form. That box is unchecked by default and optional. You do not need to check it to contact us, and it is not a condition of any purchase. SMS consent is separate from email newsletter consent. We do not send SMS marketing messages under this program. Message frequency varies. Msg and data rates may apply. Reply STOP to opt out at any time. Reply HELP for help, or email hey@heycore.ai. See the SMS Program Terms for full program details.
We never share or sell mobile numbers or SMS opt-in data with third parties for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except the service providers that help us deliver the messages.
Email marketing and newsletter
If you sign up for our newsletter, we collect your name and email address with your consent. You sign up by checking the email newsletter box on our forms. That box is unchecked by default and optional, and you do not need to check it to contact us. We use them to send you the Hey Core newsletter and tips about running a better customer front desk, and we may personalize these messages based on your needs and interests.
- Unsubscribe anytime. Every newsletter email includes an unsubscribe link. You may also opt out by following the opt-out or unsubscribe instructions at the bottom of the email, or by contacting us at hey@heycore.ai.
- We honor opt-outs promptly. When you unsubscribe, we stop sending you newsletter emails promptly. Please note that if you choose to opt out of marketing-related emails, you may continue to receive service-related and other non-marketing emails.
- Open and click tracking. Our newsletter emails may use pixel tags and tracked links so we can see whether an email was opened and which links were clicked. You can limit this by setting your email program to block images.
- Our email provider. We store your newsletter information and send our newsletter using our customer relationship management (CRM) or email marketing platform, which acts as our service provider and may use the information only to provide services to us.
- We do not sell or share the list. We do not sell, rent or share our newsletter list with third parties for their own marketing purposes.
- Separate from text messages. Email newsletter consent and SMS consent are separate. Signing up for the newsletter does not sign you up for text messages, as described in the Consent choices and records section.
Consent choices and records
Our forms offer two separate consent boxes. Both are unchecked by default and both are optional:
- SMS customer care texts. Hey Core customer care texts (missed-call text-back, appointment reminders, onboarding). See Text messaging (SMS).
- Email newsletter. The Hey Core newsletter and tips. See Email marketing and newsletter.
SMS consent and email consent are separate, and neither is required to contact us. We do not offer an SMS marketing option, and we do not send SMS marketing messages under the Hey Core customer care texts program. When you give consent, we keep a record of it, including the date and time, the page where you gave it, the consent wording shown to you, and your IP address and browser user agent, together with the phone number or email address you provided. We use these records to honor your choices and to show that we have your consent.
Your choices
In this section, we describe the rights and choices available to all users. Users who are located in certain U.S. states can find additional information about their rights below.
- Access or update your information. You may ask to review or update the personal information we hold about you by contacting us at hey@heycore.ai.
- Opt-out of communications. You may opt out of marketing-related emails by following the opt-out or unsubscribe instructions at the bottom of the email, or by contacting us. Please note that if you choose to opt out of marketing-related emails, you may continue to receive service-related and other non-marketing emails. You may opt out of text messages at any time by replying STOP.
- Cookies and other technologies. Our analytics does not use cookies. Our contact and newsletter forms do not use cookies either; they keep campaign parameters in session storage for one visit only. The chat (live chat and voice assistant) uses cookies and browser storage only after you tap its "Chat with us" button (see Tracking and other technologies, which also covers the chat and the embedded form fallback). Most browsers let you block or delete cookies and site data through their settings. You can also prevent our analytics from running by blocking JavaScript or by using a browser tool that blocks analytics scripts.
- Blocking images/clear gifs. Most browsers and devices allow you to configure your device to prevent images from loading. To do this, follow the instructions in your particular browser or device settings. Blocking images in your email program can also stop newsletter open tracking.
- Do Not Track. Some Internet browsers may be configured to send "Do Not Track" signals to the online services that you visit. We currently do not respond to "Do Not Track" signals.
- Declining to provide information. We need to collect personal information to provide certain services. If you do not provide the information we identify as required or mandatory, we may not be able to provide those services.
Other sites and services
The Service may contain links to websites, mobile applications, and other online services operated by third parties. In addition, our content may be integrated into web pages or other online services that are not associated with us. These links and integrations are not an endorsement of, or representation that we are affiliated with, any third party. We do not control websites, mobile applications or online services operated by third parties, and we are not responsible for their actions. We encourage you to read the privacy policies of the other websites, mobile applications and online services you use.
Security
We employ technical, organizational and physical safeguards designed to protect the personal information we collect. However, security risk is inherent in all internet and information technologies and we cannot guarantee the security of your personal information.
International data transfer
We are headquartered in the United States and may use service providers that operate in other countries. Your personal information may be transferred to the United States or other locations where privacy laws may not be as protective as those in your state, province, or country.
Changes to this Privacy Policy
We reserve the right to modify this Privacy Policy at any time. If we make material changes to this Privacy Policy, we will notify you by updating the date of this Privacy Policy and posting it on the Service or other appropriate means. Any modifications to this Privacy Policy will be effective upon our posting the modified version (or as otherwise indicated at the time of posting). In all cases, your use of the Service after the effective date of any modified Privacy Policy indicates your acknowledging that the modified Privacy Policy applies to your interactions with the Service and our business.
